Multi-Region Cold Outreach Automation Engine
1. Overview
We replaced a chaotic, spreadsheet-driven outbound sales process with a deterministic automation engine that acts as a multiplier for the client's existing sales team.
2. Business Problem
A B2B client's sales team was spending 60% of their time manually researching prospects and managing follow-ups across different timezones, leading to low conversion rates and burnout.
3. Existing Workflow
Sales reps manually scraped LinkedIn, cross-referenced data in Apollo, pasted it into Google Sheets, and then manually triggered sequences in a separate email tool. The process was highly error-prone and unscalable.
4. Constraints
The system had to respect strict API rate limits from third-party data providers and ensure compliance with email sending limits to protect domain reputation.
5. System Architecture
A Python-based distributed task queue (Celery/Redis) that orchestrates multi-step workflows. We built a custom scheduler that handles timezone math, rate limiting, and backoff/retry logic.
6. What SignalFoundry Built
An automated orchestration engine that integrates with multiple data providers, evaluates prospect fit programmatically, and schedules hyper-personalized, timezone-aware outreach sequences.
7. Major Engineering Decisions
We separated the data enrichment pipeline from the execution engine. This allows the system to asynchronously process thousands of prospects overnight and queue them for human review before the actual outreach is executed.
8. Deployment
Deployed on dedicated cloud instances with isolated IP addresses to ensure reliable network performance and distinct logging environments.
9. Operational Model
The system runs autonomously with alerts configured for API failures or unexpected drop-offs in enrichment success rates.
10. Outcome
Increased qualified meetings by 312% while reducing manual SDR time by 25 hours per week per rep. Outcome metrics continuously measured.
11. Lessons
Automating broken processes just makes them fail faster. We had to fundamentally redesign the client's outbound methodology before writing the automation code.
